Q: How are appointments created in the mobile booking app and website?

A: You have four booking options for your client

  1. You can create the appointment yourself in your business owner platform of Gina's Platform
  2. Allow clients to self-book without you having to confirm the appointment - Your clients will be able to see and choose from your available time slots for their preferred service(s) and book themselves
  3. Allow clients to self-book, but you have to confirm the appointment before it is set - You clients will be able to see your available time slots for their preferred service(s) but will be sending a request for the appointment time they chose.  You will receive a push notification and will need to accept and confirm the appointment 
  4. Keep your calendar private and have clients request appointments - This option will allow the client to request their preferred service(s) and dates/times.  They will not be able to see any of your available time slots.  You will need to respond with a firm date/time.  Once you and the client have agreed on date/time you will add the appointment to your calendar and then client will receive an appointment confirmation notification


Q: I have clients who have customized duration times. Does this system remember custom times?

A: Yes, it does. When you change a duration, application, processing, or finish-out time from the defaulted time you set when creating an appointment for a client – the system will automatically remember the time you changed it to for future appointments created for that same client.


Q: Can I store client notes, such as color formulas, kid’s names, birthdays?

A: Yes, you can store both appointment notes (goals, past service notes, etc.) and/or you can store general notes, which could include birthdays, formulas, etc. This can be done via the appointment create page or under the client profile, which can be accessed via the “Clients” tile on the homepage of your app.


Q: If I have Open Calendar which allows my clients to self book or request to book and can see my schedule – can clients double book me during my Processing times?

A: Yes, you will need to add the processing time when creating a service. If you do not want people to book during your processing times – then do not enter a processing time.  Instead enter the full amount of time needed for the service in the service duration area.  For more instructions on setting up services visit: Setting Up Services


Q: Can I block out times/days/etc. on my calendar if I decide to use Open Calendar/Open Calendar Confirm?

A: Yes, you can block out times, etc. You will find that feature on the Menu under Block Out Times.


Q: Can I control the minimum amount of time in advance the appointment needs to be created?

A: Yes, choose the amount of time in advance you will allow your clients to book/request appointments (15 minutes - 2 hours) you can find that in the Menu under App Settings.  


Q: What if a client comes early – can I check them out early?

A: Yes, just click on their appointment icon, which is found at the bottom of the homepage of your app. The page will slide up from the button and you select Early Checkout.


Q: Does the system send out appointment confirmations/reminders? If so, is there a cost?

A: Yes, it does. You can decide and your clients can decide if they want an SMS text, In-app text, or email. If you elect to use SMS texts there is a $5.00 per month fee. You choose the option during setup or you can find it in the menu under Reminders. Confirmations are sent out 24 hours prior to the appointment and reminders are sent out 90 minutes prior to the appointment.


Q: Can I customize the times that confirmations and reminders are sent out?

A:  Yes, you can select the timing of reminders in your App Settings.


Q: Can I share my schedule with another app user?

A: Currently that feature is in development.  Meanwhile, we suggest using the same login credentials to share the same account.  If you like, you can color code the different service offerings to show which person does which service so that it is easy to pick out who is assigned to which appointment.
